About the Position
We are looking for a responsible, organized, and proactive Support Assistant cum Representative to support the establishment and day-to-day operations of our foreign branch office in Malaysia.
The successful candidate will assist management with office setup, administrative coordination, government and business correspondence, local vendor coordination, documentation, scheduling, and general operational support. This role will work closely with the company's management and overseas headquarters to ensure the Malaysia office is established and operated efficiently.
Key Responsibilities:
Assist with the establishment and initial setup of the company's Malaysia office, work with SSM.
Coordinate office rental, utilities, furniture, internet, supplies, and other administrative requirements.
Act as a local representative for routine administrative and business coordination.
Assist with preparation, collection, filing, and organization of company and office documents.
Support communication with local authorities, agencies, professional service providers, and other relevant organizations when authorized.
Assist overseas management and visiting executives during their business activities in Malaysia.
Handle general correspondence, emails, telephone calls, and office communications.
Assist with recruitment, onboarding, and coordination of local office staff when required.
Support company events, meetings, business visits, and other corporate activities.
Conduct basic local research on suppliers, business services, market opportunities, and regulatory requirements.
Coordinate with the company's overseas headquarters and provide regular updates regarding Malaysia office activities.
Perform other administrative and operational duties assigned by management.
Candidate Requirements:
Diploma or Bachelor's degree in Business Administration, Management, Commerce, IT, or a related field.
Previous experience in administration, office management, business support assistance, or corporate coordination and secretarial services is preferred.
Strong organizational and time-management skills.
Good written and spoken English, Hindi.
Good communication and interpersonal skills.
Familiarity with Malaysian business practices and administrative procedures.
Proficiency in Microsoft Office / Google Workspace and general business software.
Ability to communicate professionally with vendors, service providers, government-related organizations, and business partners.
Able to work independently and handle multiple tasks.
Trustworthy, professional, presentable, and detail-oriented.
Willingness to travel locally when required.
